With the traditional transport system, a sample was put into a bag, paperwork was added, and both were placed into another bag that was then joined with other samples in a third bag. The system uses a tremendous amount of plastic and paper that could not be recycled, due to strict regulations in the healthcare industry. Thus, the materials were incinerated adding to a huge negative impact on the environment as well as additional cost.

SamplePod has changed all of this. We are set to reduce NHS costs by 250m per year.

SamplePod lab specimen collection pallet.

Current transport systems create damage, loss, and contamination. They are spatially inefficient, create a huge amount of waste from plastic bags, paper and foam, whilst incurring enormous cost. The SamplePod holds every possible sample size securely and within one pod and can be used time and time again.

 

The solution reduces costs, eliminates all waste, prevents damage to labelling, helps maintain temperature, reduces space and standardises racking. Pathology Lab Operators are now efficiently focussed on productive delivery, instead of sorting, cleaning and waste disposal.

Through ground breaking, flexible RFID labels on every sample tube, all individual sample IDs are locked into the master RFID chip within the SamplePod itself. Each sample is now fully traceable in real-time from Primary Care or ward, all the way through to the pathology lab. 

The lab itself is notified of the number of samples and their type the second the sample is checked in at source, providing full visibility and planning to the lab and ensuring the chain of custody. Each unique tag ID holds no sensitive patient data whatsoever, as the RFID tag ID is paired to the patient ID within the barcode, which is also scanned for further assurance.

Current processes often have a negative effect on the Pathology Lab’s ability to deliver to its maximum efficiency. Manual systems, sorting, decanting and waste disposal eat into capacity, meaning the ability to scale against increased demand is lost.

 

No visible schedule of incoming sample types and priorities mean it is impossible to plan, forcing the team to be reactive instead of controlling the flow though forward visibility. Phantoms and missing samples, alongside low-level traceability make the already complicated task even harder.
 

The SamplePod system eradicates all these issues.

The sample tray sits at the very heart of the patented SamplePod, using a smart geometric grid to hold all sample tubes securely in place. The flexible TPE is softened internally whilst hardened on the outside, meaning samples are gripped in place, yet simply removed either by hand or automated machine.

 

Alongside securing each sample in transport, the grip provided by the grid is designed to minimise friction or damage to the label itself, dramatically reducing the impact of damaged or part peeled labels.

The flexible RFID chip and antenna are safely embedded within the label itself, meaning the label can be wrapped around any sample size and operate perfectly. The unique ID of each chip is partnered with the barcode, providing full system integration, but without the need for the chip to store any sensitive patient information.

 

Each sample label is assigned to the master tag within the SamplePod, informing the laboratory of precisely what each pod
contains with a time stamp of when each individual sample was added.

Phantom samples, damaged labelling and missing data frequently incurs return visits to primary care in order for 2nd samples to be taken.
